Our Tampa office is looking for a litigation legal secretary with at least 2 years of experience in insurance defense to perform administrative duties within a law firm. Only applicants with insurance defense litigation experience will be considered.
This individual will be responsible for providing excellent client/customer service and will support more than one attorney.
Essential functions Include:
•Type, edit, eFile pleadings and will compose correspondence, including letters, memoranda and other documents.
•Heavy scheduling for depositions, hearings, meetings, etc.
•Update and maintain databases (i.e. e-mail lists, I-Create info, client matter lists, tickler and matter lists).
•Interact with clients, visitors and attorneys/staff from other Hinshaw offices via phone, e-mail and in-person.
•Open new files, check conflicts of interest, and maintain all client and general files.
•Make appointments and travel arrangements; maintain calendar and deadline reminder system.
•Ensure attorney timesheets are complete and assist billing department in processing monthly client invoices.
•Enter attorneys’ expenses.
•Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.
Ideal candidate will have 5+ years of litigation experience as a legal secretary, with a background at minimum of 2 years in Insurance Services/Defense; working knowledge and experience in e-filing in both state and federal court systems. Strong organizational skills with an exceptional attention to detail; Strong communication, interpersonal and customer service skills and ability to interact effectively and professionally with management, staff and external entities including clients of the firm. Candidates must possess a minimum typing speed of 65 words per minute, be proficient in and have knowledge of relevant software applications (Excel, Word, PowerPoint, and Outlook); must be able to maintain a high degree of confidentiality, and consistently produce high-quality work product.
