Our Chicago office is looking for a Senior Docket Specialist who is responsible for the timely, day-to-day activities of a full-service Docket Department, including setting up cases for electronic monitoring; filing, serving and retrieving court documents; docketing relevant dates; running reports; and performing other essential duties within the department. This role is responsible for providing training to new docket staff and supporting special projects.

Duties and Responsibilities

1.            Perform quality control checks of docket requests to ensure data is accurate and complete. Use internal and external resources to ascertain correct case information, and engage is discussions with attorneys and/or secretaries to gather information and/or clarification as needed.

2.            Respond to all inquiries made by secretaries and attorneys in a timely and accurate manner.

3.            Entering deadlines and documents from automated monitoring systems into docketing software.

4.            Proofreading and reviewing documents to be filed by the Firm.

5.            Filing and retrieving documents both electronically and by hand with the courts.

6.            Reviewing documents for potential deadlines and docketing related dates into docketing system.

7.            Assist the National Docket Manager in the drafting and updating of department procedures.

8.            Assist in all aspects of the Docket Department operations inclusive of administrative tasks to maintain the integrity of the Firm’s Docket database.

9.          Researching and interpreting rules and statutes.

10.          Auditing docket entries for accuracy.

11.          Troubleshooting and resolving complex issues.

12.          Effectively administer daily reports and special requests in the docket system.

13.          Staying current with industry best practices and new development in the area of docketing, court procedures and rule changes.

14.          Participate in continuing education, research, networking, and professional and industry organizations to advance competencies.

15.          Conduct training for new docket analyst on department procedures and software systems.

16.          Lead special projects.

17.          Assume any other duties assigned.

 

Minimum Job Qualifications

A minimum of 5 years prior docket experience.

2.            Bachelor’s Degree or equivalent work experience.

3.            Demonstrated ability to interpret and analyze information. Including ability to compile, review, filter, synthesize, and determine logical conclusions or recommendations based on data and information which is varied in content and format.

4.            Excellent working knowledge of the federal, state court, and agency rules.

5.            Excellent knowledge of the court system and agencies.

6.            Previous experience in a law firm, professional services or consulting firm in docket services, including knowledge of various litigation practice areas (e.g., labor and employment, workers compensation, probate, civil, appellate).

7.            A minimum of 5 years prior experience with a rules based calendaring system (CompuLaw, eDockets, ProLaw).

8.            Excellent interpersonal, written and verbal communication skills. Ability to work with personnel at all levels to converse about conflicts of interest issues, and department procedures.

9.          Excellent professional work ethic, initiative and customer service  

10.          Proficiency in Microsoft Office programs. 

11.          Ability to work with tight deadlines and to provide off hours (evenings, weekends and holiday) to support projects and escalated issues, as needed.
