Position Summary
The Intake Clerk will support the Practice Services department and aid increased workflow. Responsibilities will also encompass submitting preliminary conflicts search and new matter requests relating to the activities of the Firm’s attorneys and lateral candidates, maintaining database integrity, and supporting special projects.
Responsibilities:
- Provide administrative support to the Practice Support department to maintain the integrity of the Firm’s conflicts database.
- Effectively submit preliminary conflicts searches and new matter requests in the new business intake workflow system.
- Maintain clear and professional communication with clients, attorneys, and other staff members to facilitate a smooth intake process.
- Participate in cross-training within the intake team to ensure comprehensive knowledge of all intake procedures. Provide coverage for team members during absences or high-volume periods to maintain consistent service levels.
- Accurately input client matter information and case details into the firm's case management system, ensuring data integrity and confidentiality as required.
- Stay current with best industry practices and new developments in the area of conflicts of interest and risk management. Participate in continuing education, research, networking, and professional and industry organizations to advance competencies.
- Assist with billing and time entry projects.
- Participate in special projects.
- Assume any other duties as assigned.
Qualifications:
- Excellent analytical skills. Ability to draw accurate conclusions from complex sets of information.
- Advanced internet skills, and exceptional attention to detail.
- Previous experience in a law firm, professional services or consulting firm in processing new business and/or conflicts of interest is strongly desired.
- Excellent interpersonal, written and verbal communication skills. Ability to work with personnel at all levels.
- Excellent professional work ethic, initiative and customer service.
- Experience with CMS/Aderant and Intapp Open Enterprise.
- Proficiency in Microsoft Office programs.
- Ability to work with tight deadlines and to provide off hours (evenings, weekends and holiday) to support projects and escalated issues, as needed.
