Litigation Legal Secretary
Hinshaw & Culbertson LLP, a national law firm with over 20 offices in the United States, 400 lawyers and 1,000 personnel, has an excellent opportunity for a litigation legal assistant to join our Boston office. This is a full-time position for a candidate who can meet the duties and responsibilities, possesses the skills and competencies, and has achieved the qualifications and experience listed below.
Position Summary:
The ideal candidate must have excellent organizational and communication skills, interpersonal and customer service skills and the ability to interact effectively and professionally with management, staff and external entities including clients of the firm, be detail-oriented, and able to prioritize their workload. The successful candidate must be dependable, a self-starter, with a “can do” attitude, able to work independently, have working knowledge and experience in e-filing in both state and federal court systems. Proficiency in running conflicts, file opening and closing, billing, and running files through on-line/web-based systems for managing cases (such as CounselLink, Serengeti Legal Tracker and/or Ascent), and proficiency in Excel are necessary. Candidates must possess a minimum typing speed of 65 words per minute, be proficient in and have knowledge of relevant software applications (Excel, Word, PowerPoint, and Outlook); must be able to maintain a high degree of confidentiality, and consistently produce high-quality work product.
Duties and Responsibilities:
• Type, edit, e-file pleadings and compose correspondence, including letters, memoranda and other documents, as well as create Excel spreadsheets and charts.
• Update and maintain databases (i.e. e-mail lists, iCreate info, client matter lists, tickler and matter lists).
• Interact with clients, visitors and attorneys/staff from other Hinshaw offices via phone, e-mail and in-person.
• Open new files, run conflicts checks, and maintain all client and general files via iManage.
• Make appointments and travel arrangements; maintain calendar and deadline reminder system.
• Assist partner and billing department in processing monthly client invoices.
• Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.
Qualifications and Prior Experience:
• The successful candidate will have 5+ years of litigation experience as a legal assistant.
• Knowledge of consumer financial services litigation is a plus, as is experience with current local, state and federal court filing requirements, including e-filing in Massachusetts, Connecticut, Maine, New Hampshire and Rhode Island state and federal courts.
