Description

Hinshaw & Culbertson LLP is a U.S. based law firm with offices in 12 states and London. The firm's national reputation spans the insurance industry, the professional services sector—including representation of law firms and lawyers—and other highly regulated industries, such as banking and finance and the debt collection sector. Hinshaw also provides a series of closely coordinated litigation, business advisory and transactional services to clients of all sizes as well as governmental and public sector entities. We have an excellent opportunity for an administrative assistant to join our New Orleans office. This is a full-time position for a candidate who can meet the duties and responsibilities, possesses the skills and competencies, and has achieved the qualifications and experience listed below:

Duties & Responsibilities

•Type, edit, e-File pleadings and compose correspondence, including letters, memoranda and other documents.

•Update and maintain databases (i.e. e-mail lists, I-Create info, client matter lists, tickler and matter lists).

•Interact with clients, visitors and attorneys/staff from other Hinshaw offices via phone, e-mail and in-person.

•Open new files, check conflicts of interest, and maintain all client and general files.

•Make appointments and travel arrangements; maintain calendar and deadline reminder system.

•Ensure attorney timesheets are complete and assist billing department in processing monthly client invoices.

•Maintain professional appearance and attitude; maintain good public relations and customer service with clients; maintain confidentiality of attorney-client relationship.

Skills & Competencies

The ideal candidate must have excellent organizational and communications skills, be detail-oriented, and able to prioritize their workload. The successful candidate must be dependable, a self-starter, with a “can do” attitude, able to work independently working knowledge and experience in e-filing in both state and federal court systems. Proficiency in running conflicts, file opening and closing, billing, and running files through on-line/web-based systems for managing cases (such as CounselLink, Serengeti Legal Tracker and/or Ascent), are necessary. Strong organizational skills with an exceptional attention to detail, strong communication, interpersonal and customer service skills and the ability to interact effectively and professionally with management, staff and external entities including clients of the firm. Candidates must possess a minimum typing speed of 65 words per minute, be proficient in and have knowledge of relevant software applications (Excel, Word, PowerPoint, and Outlook), must be able to maintain a high degree of confidentiality, and consistently produce high-quality work product.

Qualifications & Prior Experience

The successful candidate will have 5+ years of litigation experience as an legal administrative assistant. Applicants without litigation experience will not be considered. Knowledge of consumer financial services litigation is a plus as is experience with current local, state and federal court filing requirements.
